Administrative Assistant

Description:Our successful property management company is in need for an experienced Administrative Assistant in our corporate office. The Administrative Assistant's primary role is to answer tenant phone calls and offer assistance to the Senior Vice President, Regional Directors, and Apartment Communities.

Duties:Essential Duties and Responsibilities but not limited to:

Assist Regional Directors, Direct Supervisor and Sr. Vice President with all assigned tasks.

Set up excel formulas for yearly budgets for all communities to use.

Answer incoming calls and transfer to appropriate person/location.

Keep track of monthly financials for each community to include creation of excel sheets.

Order office supplies as needed and maintain office expenses effectively.

Schedule and organize activities such as meetings, travel, conferences and department activities for all members of the department.

Reconcile monthly expense reports as received.

Keep accurate and orderly filing systems both with paper files and on line files.

Design, create, print and place a variety of marketing materials, flyers and print ads for the marketing communities.

Update and maintain office directory as needed.
Qualifications:At least 1 -2 years of experience in an administrative role or Associates degree.

Must be proficient in all Microsoft Office software applications including, but not limited to, Word, Excel, and Power point.
Familiar with Adobe PDFS
Knowledge in basic functioning of a corporate office
Must be able to work as a team and as an individual.
Good writing and problem-solving skills
Ability to effectively communicate
Must be able to proficiently operate all office equipment including, but not limited to computers and applicable software, copy machine, scanner, fax machine, calculator, and telephone equipment.
Multi-line phone system experience

Marketing/Advertising experience a PLUS!
Property Management experience a PLUS!
